JOB ROLE: Team Administrator

JOB TYPE: Temp - Perm/ Full Time

COMPANY: Medical Science

HOURS: 9:00am to 5:30pm

SALARY: £25,000 - £27,000/ £13.79 - £14.83 per hour

LOCATION: West end

CULTURE: Professional, corporate and friendly



DUTIES INCLUDE BUT ARE NOT EXCLUSIVE TO:

* General Administration for all laboratory based staff, including supporting any travel requirements
* Provide, where necessary, diary management for Group Leaders
* Arrange internal and external meetings, book meeting rooms and equipment, produce visitor itineraries and arrange reimbursements
* Contribute to the organisation of internal and external conferences and events
* Manage/distribute all incoming and outgoing mail, including FedEx and couriers
* Answer queries, compose and answer routine correspondence, type and proofread/format documents on request
* Taking minutes/notes of meetings
* Filing and maintain a secure filing system and retrieve information as required
* Keep notice boards (physical and electronic) up to date
* Arrange UK and overseas travel and accommodation and produce concise travel itineraries for Group Leaders and their visitors
* Manage travel and expense claims according to agreed policies; process, log
* and track expense claims
* Induction of new staff
* Operations Managers and other functions, such as Safety, Health and Sustainability (SHS), Information and Communications Technology (ICT), Finance, Human Resources (HR), Building Services and Facilities team
* Approving of sickness absence and annual leave on HR system
* Train staff on the Employee Self Service module of the HR system
* Liaise with the central Finance and Procurement teams re all invoice and order queries
* Undertake any other duties as deemed appropriate to the role



SKILLS, EXPERIENCE AND ATTRIBUTES REQUIRED:

* Previous administrative experience including complex diary management
* Proven experience of providing high level administrative support to a team of people
* Advanced IT skills and experience with widely used applications
* Ability to deal with sensitive information in a confidential manner
* Ability to multitask, prioritise and deliver to deadlines
* Ability to show initiative and management of own workload
* Excellent oral and written skills
* Ability to work on your own or be part of a team
* Excellent interpersonal skills with the ability to deal with people at all levels
* Accuracy and attention to detail
* There may be a need to work flexible hours on occasion - advance notice would be given
